A digital shift book is a software-based solution for the complete documentation of all shift processes, tasks, events, handovers and instructions in real time. It replaces conventional, paper-based shift protocols by centralised data records available at any time, audit trails and automatic time stamps
Across all industries, there are a variety of application areas in production, logistics, chemicals, the food industry, automotive manufacturing, energy and water management, as well as in the facility and service management.
Shift handover refers to the transfer of shift-related information from the outgoing to the incoming shift, including open tasks, faults and shift events, plant status and applicable instructions. With digital shift handover, this information is recorded in software during the shift and made available to the incoming shift in a structured form. Many plants keep the verbal handover briefing, but it is then based on the documented entries. Since every entry is stored with a time stamp and author, it remains traceable weeks later which information was passed on to whom and when.
In production, automatic time stamps, audit trails and complete protocols provide more transparent shift changes, faster error cause analysis and better traceability of batches and qualifications.
Advantages for the production: reduced process times, fewer downtimes, improved resource planning, faster audits and higher product quality due to clear instructions and consistent processes.
Staff benefit from transparent handovers, less duplication of work, less paperwork and mobile, location-independent data entry, which leads to fewer errors. Managers receive real-time reports, better KPI transparency, optimised shift planning, greater compliance and faster response times in the event of deviations.
Overall, productivity, safety and employee motivation are increased due to clear processes and simple documentation.
A digital shift log performs the same function that the traditional paper shift log has served in industry for decades: providing complete documentation of what happened during a shift and passing this information on to the next team. At the same time, it eliminates the typical shortcomings of the paper format:
All of this is eliminated when the documentation is stored in a structured, searchable format within a central application that multiple people can access simultaneously.
Basically, anything that’s relevant during a shift and needs to be communicated. SHIFTGURU comes with a built-in “Events” form that lets you record shift events. There are also other standard forms available that you can customize as you see fit. And with the Checklist Designer, you can create new checklists tailored exactly to your situation.
The handoff is no longer limited to a verbal briefing at the end of the shift, during which, as experience has shown, details can be lost. Instead, there is a structured digital shift handoff that the incoming shift can view immediately. The next shift leader can easily view open items, ongoing tasks, and special notes even after the handoff is complete.
Yes. This is one of the key advantages over paper: Pending tasks are displayed centrally on the workers’ dashboard, so they’re no longer forgotten. To track progress, the shift supervisor can view the task list, where they can see the status, the person responsible, and the due date for all tasks—including an alert if the due date has passed.
In addition, tasks can be created directly from events and are then linked to one another. This ensures that the cause and the action taken remain linked and can be found without a lengthy search.
Yes. You can add photos to all shift log entries (events, tasks, instructions, information, etc.). In addition, you can attach documents or files to tasks. For custom data entry forms, you can add a control for uploading files in the Checklist Designer.
Yes. You can filter and search for entries in the shift entry tables. In addition, we are currently developing an AI-powered search function that will allow you to search for content related to your shift from anywhere.
For manufacturing, logistics, the chemical industry, the food industry, automotive manufacturing, the energy and water sectors, as well as facility and service management.
